Privacy Policy

This Privacy Policy explains how Daraja Air Services (“Daraja”, “we”, “us”) collects, uses, shares and protects personal information when you visit darajaairservices.co.tz, send us a request, or contact us by email, phone or WhatsApp. We handle personal data in line with the Personal Data Protection Act, 2022 of the United Republic of Tanzania and the regulations and guidance of the Personal Data Protection Commission (PDPC).

1. Who we are

2. Information we collect

Information you give us. When you use our request form or contact us, we collect:

  • Contact details: your name, company or operator, email address, phone / WhatsApp number and how you prefer us to reply.
  • Request details: the information needed for the service you ask about, which may include travel and flight dates and times, airports, routings and flight numbers, aircraft type and registration, number of passengers, crew or guests, pick-up and drop-off locations, hotel and safari preferences, equipment needs, nationality (for visa assistance) and dietary requirements (for catering).
  • Anything else you choose to tell us in the “Additional notes & special requests” box, by email, phone or WhatsApp.

When we arrange a confirmed service, we may also need further details such as passport information, passenger names or crew lists. We only ask for these when they are required to deliver the service (for example for permits, visas, hotel or airline bookings).

Sensitive information. Some details can count as sensitive personal data under the law, for example medical or health information (such as for ambulance flights or special assistance) or dietary requirements that reveal religious beliefs. We only collect this when it is needed for your service and when you give it to us with your consent, and we treat it with extra care.

Please only share information about other people (such as fellow passengers or crew) if you have their permission to do so.

Information collected automatically. Like most websites, our web server and security tools record technical information such as your IP address, browser type, the pages you visit and the time of your visit. We use this to keep the website secure, prevent spam and abuse of our forms, and fix problems. Our request form briefly uses your IP address to limit repeated submissions.

3. How we use your information

  • To reply to your enquiry and prepare a quote.
  • To arrange, confirm and deliver the services you request, and to contact you about them.
  • To prepare invoices and keep business and accounting records.
  • To meet our legal and regulatory obligations, including requirements of civil aviation, immigration and tax authorities.
  • To keep our website and systems secure and to prevent fraud and spam.

We process your information lawfully, fairly and transparently, and only for the specific purposes above. We rely on your consent (which you give when you tick the consent box and send us a request), on the need to take steps towards and perform a contract with you, and on our legal obligations. We do not sell your personal information, we do not make decisions about you by automated means or profiling, and we only send you marketing messages if you have given us your explicit consent.

4. Who we share your information with

To deliver the services you ask for, we share only the information each party needs with trusted partners and authorities, such as:

  • ground handling agents, fuel suppliers, flight caterers and airport operators;
  • civil aviation and other government authorities (for example for flight permits, visas and customs);
  • airlines, hotels and lodges, transport companies, safari operators and lounge providers;
  • our partner agents at airports outside Tanzania when your trip or flight involves them;
  • service providers that help us run our business, such as our website host, email provider and IT and security services.

We may also disclose information where required by law, a court order or a competent authority.

5. International transfers

Because we support flights and travel across Africa, some of your information may be shared with partners in other countries, and some of our service providers may store data outside Tanzania. When this happens, we only transfer what is needed to deliver your service, and we do so in line with the Personal Data Protection Act, 2022, using appropriate safeguards (such as agreements with our partners that require them to protect your information) and any permission required from the Personal Data Protection Commission.

6. How long we keep your information

We keep enquiries that do not lead to a booking for up to 24 months, so we can refer back to them if you contact us again. Records of confirmed services and invoices are kept for as long as required by Tanzanian tax and business law (usually up to 7 years). After that, we delete or anonymise the information.

7. How we protect your information

We use reasonable technical and organisational measures to protect your information, including a secure (HTTPS) website, restricted access to our systems, strong passwords and regular updates. Enquiries are stored in our password-protected website administration area and email account, and only our team members who need the information can access it. No method of sending or storing data is completely secure. If a security breach affecting your personal information occurs, we will act quickly to contain it and will notify the Personal Data Protection Commission and, where required, the people affected.

8. Cookies

Our website uses only the cookies needed for it to work and stay secure (for example to remember your cookie preferences, and login cookies for our own staff). Our site uses Google Fonts to display text, which means your browser connects to Google’s servers and shares your IP address with Google. If we add analytics or other tools in future, we will update this policy and ask for your consent where required.

9. Your rights

Under the Personal Data Protection Act, 2022 you have the right to:

  • be informed about how your personal information is collected and used (which is the purpose of this policy);
  • ask whether we hold personal information about you and receive a copy of it;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information (the “right to be forgotten”) where we no longer have a lawful reason to keep it;
  • ask us to restrict how we use your information;
  • object to the use of your information, including for direct marketing, and not to be subject to decisions made solely by automated means;
  • withdraw your consent at any time (this does not affect anything we did lawfully before you withdrew it);
  • complain to the Personal Data Protection Commission (PDPC) if you believe we have not handled your information properly.

To use any of these rights, contact us using the details below. We may need to confirm your identity before we respond, and we aim to reply within 30 days.

10. Children

Our website and services are intended for adults. We do not knowingly collect personal information from children except where a parent or guardian provides it to arrange travel for a family (for example the number of children on a safari).

11. Links to other websites

Our website may link to other websites and apps, such as WhatsApp and social media. We are not responsible for how those services handle your information; please read their privacy policies.

12. Changes to this policy

We may update this Privacy Policy from time to time. The latest version will always be on this page, with the date it was last updated.
